Tutorial: Quotations
A quotation (sebut harga) is a price offer you send a customer before billing them. It doesn't post to your accounts — it becomes real only when you convert it into an invoice.
Where: Sales → Quotations.
Quotation statuses

| Pending | Sent, awaiting the customer's decision |
| Accepted | Customer agreed |
| Declined | Customer said no |
| Invoiced | Converted into an invoice (can't be converted again) |
Step 1 — Create the quotation
- Sales → Quotations → Create.
- Pick the customer.
- Add line items (choose Items to auto-fill price, or type custom lines).
- Set the quotation date and any validity/notes.
- Save.
Step 2 — Send it
Download the quotation PDF or share its link with the customer.
Step 3 — Track the outcome
Update the status to Accepted or Declined as the customer responds. This keeps your pipeline clear.
Step 4 — Convert an accepted quote into an invoice
- Open the accepted quotation.
- Choose Convert to invoice.
- ASPLUS creates a Draft invoice carrying the customer, line items and SST, and marks the quotation Invoiced (linked to that invoice).
- Continue in the invoice — finalise it, submit the e-Invoice if needed, and record payment there.
A quotation can be converted once. After it's Invoiced, re-converting is blocked so you don't accidentally bill the customer twice.
Quotations FAQ
Does a quotation affect my books or SST?
A quotation can show SST on its lines as part of the estimate, but it does not post to your ledger or count toward your SST-02 return. That only happens once you convert it to an invoice and finalise that invoice. See Invoices & Payments.
I converted a quote by mistake
The linked invoice is now the source of truth. If you don't want to bill it, cancel or credit-note the invoice (see Invoices) — the quotation stays marked Invoiced and can't be re-converted.
