Getting Started (Basics)

ASPLUS is AI-powered accounting software built for Malaysian SMEs. You record your day-to-day money movements — sales, purchases, payments — and ASPLUS keeps a proper double-entry set of books behind the scenes, ready as reports, SST figures and tax-time summaries.

The one idea to remember: you never type numbers straight into a report. You record transactions (invoices, bills, money in/out), and every report (Profit & Loss, Balance Sheet, Trial Balance…) is calculated from them. Get the transactions right and the reports take care of themselves.


First-time setup

1. Create your account and company

When you sign up, ASPLUS walks you through business setup: your company name, registration details and — importantly — your financial year (start and end months). This drives how all your reports are grouped, so set it correctly.

2. Set your opening balances (if you're migrating mid-year)

If your business already existed before ASPLUS, tell the system your starting balances (e.g. "we already have RM50,000 in the bank"). Use the Opening Balance wizard under Accounting → Opening Balance:

  • Enter the debit/credit balance for each account. Total debits must equal total credits before you can finish.
  • If customers already owe you money, you'll be routed to record those as opening invoices (Accounts Receivable); if you owe suppliers, opening bills (Accounts Payable).
  • Opening balances stay in draft and are excluded from reports until the wizard is completed.

If you're starting fresh with a brand-new business, you can skip opening balances.

3. Add your building blocks

  • Contacts — your customers and suppliers. See Contacts.
  • Items — the products/services you sell or buy, with prices and tax. See Items.
  • Bank accounts — the cash and bank accounts you move money through. See Banking & Transactions.

Once these exist, recording invoices, bills and payments is fast.


The dashboard

After login you land on the Dashboard — your business at a glance: key figures (sales, expenses, cash position), things that need attention, and quick links. The numbers tie back to the same reporting engine as the Report Center, so they agree with your reports.


Working with multiple companies

One ASPLUS account can hold up to 3 companies, each with its own books, plan, reports and AI credits. Use the company switcher at the top of the app to move between them.

  • New companies are created from the dashboard company switcher ("Add new company"), not from an old form — this keeps each company's books separate.
  • Adding a company may depend on your plan/quota. See Plans & Billing.
Do my companies share data (contacts, credits, reports)?

No. Each company has its own contacts, items, transactions, reports and AI credit wallet. Nothing crosses between companies. Always check the company switcher shows the company you intend to work in.


Language (Bahasa Melayu / English)

ASPLUS is bilingual. Switch language from the language control in the app (or your profile). Menus and screens follow your choice.

Note that certain content stays in the language you entered it — for example your own item names, invoice line descriptions and report labels sourced from your data — because that's your business data, not app text.

Basics FAQ

I set the wrong financial year — can I change it?

Yes, in Settings → Company. Because the financial year drives how reports are grouped, review your reports after changing it. If you've already recorded a lot of transactions, double-check the Balance Sheet and Trial Balance still look right (run Books Integrity if unsure — see Reports).

Where do I start if I've never used accounting software?
  1. Confirm your financial year is right (Settings → Company).
  2. Add a few Contacts and Items.
  3. Add your bank account(s).
  4. Record one real invoice and one real bill to see the flow.
  5. Open the Dashboard and Reports to watch the numbers appear.

The WhatsApp AI (AIRA, Pro/Lifetime) and the in-app AI Assistant can also answer "how do I…" questions in plain BM/English.

Is my data private per company and per account?

Yes. Books are scoped per company, and access is scoped to your account/team. Sensitive actions (like changing a login email for a locked-out user) are owner-gated and audited — see Troubleshooting.
