Contacts (Customers & Suppliers)

Contacts are the people and businesses you transact with. Every invoice, bill and payment can be tied to a contact so ASPLUS can track who owes you (receivables) and who you owe (payables).

Where: the Contacts area, filtered by type.

Contact types

Type Used for
Customer People/businesses you sell to (invoices, quotations, receipts, money in)
Supplier People/businesses you buy from (purchase bills/orders, money out)
Employee Staff, e.g. for expense/payment records
Other Anything that doesn't fit the above

A contact can be created directly, or on the fly while you're making an invoice or bill.

What a contact holds

Name / company name, contact person, email, phone, address and tax details. The address and tax details flow into the documents you issue (the "bill to" block on an invoice, for example).

  • Money a customer owes flows into Trade Receivables.
  • Money you owe a supplier flows into Trade Payables.

So keeping contacts accurate keeps your receivables/payables — and your Balance Sheet — accurate. See Reports.

Editing a customer on an invoice (important)

When you change the customer's name or details on an invoice or quotation, ASPLUS does not rename the shared contact record for all your other documents. Instead it forks (copy-on-write): the change applies to that document, while the original contact and your other documents keep their details.

This fixed the old "nama tertukar" bug where editing the bill-to on one invoice silently renamed the customer everywhere. Now each document keeps the details it was issued with.

I edited a customer on one invoice and it changed on another — is that still happening?

No. Since the copy-on-write fix (live Sep 2026), editing the customer on an invoice/quotation only affects that document. If you want to change the master contact for future documents, edit it in the Contacts area itself.

Contacts FAQ

Can I import contacts in bulk?

Contacts are managed in the Contacts area. If you need a bulk import for a large existing list, contact support to check the current options for your account.

How do I see everything for one customer?

Open the customer in Contacts to see their details; their invoices, receipts and outstanding balance appear through the Sales and Reports areas. The AI (AIRA / AI Assistant) can also answer "cari customer Ahmad" or "invois mana belum bayar" — see the AI Platform.

What's the difference between a Customer and a Supplier here?

It's about direction of money. Customers buy from you (they generate receivables and money in). Suppliers you buy from (they generate payables and money out). A single business could be both — create it under each type if you both sell to and buy from them.
