Items (Products & Services)

Items are the products and services you put on invoices, quotations and purchase bills. Setting them up once means prices, accounts and tax fill in automatically each time you use them.

Where: Sales → Items.

Scope note: ASPLUS Items are a catalogue (price + accounts + tax + e-Invoice classification). They are not a perpetual stock/inventory system — there is no on-hand quantity or automatic stock-level tracking. If you need stock counts, track them separately; ASPLUS records the financial side.


What an item holds

Active Hide retired items without deleting history

An item can be sellable, buyable, or both. A service you only sell needs an income account; something you only purchase needs an expense account.


Why the accounts and tax matter

When you add an item to an invoice:

  • Its price pre-fills the line.
  • The income account decides where the sale lands in your Profit & Loss.
  • The sales tax decides the SST charged (which feeds the SST-02 return).

So a correctly set-up item keeps your P&L categorised and your SST figures right with no extra thought at invoicing time.


e-Invoice fields (MyInvois)

For LHDN e-Invoice / MyInvois, each item can carry a classification code and a unit of measurement. These are required on the e-Invoice submission, so filling them on the item means they're ready whenever you issue an e-Invoice. See e-Invoice / MyInvois.


Items FAQ

Does ASPLUS track my stock quantity / inventory levels?

No — Items are a catalogue for pricing, accounts and tax, not a perpetual inventory ledger. There's no automatic on-hand count. Track physical stock separately if you need it.

Why is my sale going to the wrong category in Profit & Loss?

Check the item's income account ("Sell this"). The P&L groups sales by that account. Fix the account on the item (and re-check any invoices already posted with the old account).

My item isn't charging SST

The item needs a sales tax set. If it's blank, no SST is added when the item is sold. Set the correct SST tax on the item, and confirm your company is SST-set-up — see SST.

Can I stop using an item without losing past invoices?

Yes — set it inactive instead of deleting it. It disappears from new documents but stays on the historical documents that already used it.
